SGA’s Thriving Communities Team weaves together complementary disciplines to partner with diverse local leaders to create healthy places where people can prosper. The Thriving Communities Team leverages SGA’s multidisciplinary skill sets and experiences to partner with communities of all sizes throughout the country through comprehensive, on-the-ground technical assistance. Our programming spans transportation, economic development, fiscal health, land use, arts and culture, public health, resilience, community design, and Complete Streets. Through our work, we serve as a portal to connect communities to each other and to programs across Smart Growth America.

Job Description

The Thriving Communities Administrative Coordinator will be a member of Smart Growth America’s (SGA) Thriving Communities Team (Team), reporting to the Deputy Director of Thriving Communities, and is expected to contribute to a collaborative team environment. This position works closely with staff to help advance SGA’s role in thought leadership, advocacy, and technical assistance. The Team is looking for a dynamic, organized, people person, who is a master multi-tasker with excellent communication skills and a “can-do” attitude. You should be able to handle administrative and logistical tasks related to Team activities and provide professional assistance internally and externally, solving problems before they happen and identifying ways to streamline processes to make things run more smoothly for the entire Team.


Thought Leadership

  • Provides logistical support for development and publication of reports.
  • Provides logistical support for research tasks such as scheduling interviews and tracking resources.


  • Effective communication with staff and partners for diverse needs such as scheduling appointments, coordinating meetings, and organizing events.
  • Manages Team social media communications schedule.
  • Manages Team email accounts ([email protected]) and tracks incoming emails.
  • Uses PowerPoint presentation templates to design presentations for internal and external use as directed.

Technical Assistance

  • Provides logistical support for technical assistance activities such as scheduling, workshop preparation (printing/preparing packages), travel management, hotel blocks, reimbursements, and invoices.
  • Provides logistical support for webinars and distance learning modules such as scheduling, coordinating with partners, and preparation.

Team Support

  • Provides executive support for a wide variety of administrative and technical support duties for executive staff, including expense reporting, managing calendars, scheduling activities, meetings, meeting minutes, and events.
  • Participates in and leads team seminars.


  • Contributes to organizational strategy for events and strategic activities.
  • Supports event planning and event logistics as needed, including invoicing.


  • Assists in database management and project and partner tracking.

Project Management

  • Consistent and excellent grants and project management.
  • National Complete Streets Coalition (NCSC) coordination: schedule quarterly steering committee meetings, manage members, record and share meeting minutes, follow-up on next steps.
  • NCSC Coalition Member management: Invoices, dues, meetings, and other logistics.
  • Compiles receipts, invoices, and other documentation for expense reporting.
  • Manages office tasks for Team including filing, clerical and other organizational tasks.
  • Supports Administrative and Finance Department as requested.

External Relations

  • Coordinates and tracks outreach.
  • Contributes to organizational strategy for events and strategic activities.
  • Serves as an ambassador for the team and Smart Growth America.

Required Skills

The candidate will have prior administrative experience; excellent computer skills, including Microsoft Office; attention to detail; a proactive attitude; and be a team player.


A qualified candidate will have an associate’s degree in a related field, at least 2-3 years experience working in an office environment, and an explicit career trajectory to serve in an administrative role as support to high-level executives.


Salary commensurate with experience and will range between $43,000 to $50,000. Benefits include health insurance, 401k, and paid vacation and paid sick time.
